This Privacy Notice covers the activities of the Knepp Castle Estate (which includes Sir Charles Burrell t/a Knepp Castle Estate, Knepp Farm Partnership, Knepp Castle Home Farm, Edward Burrell t/a Knepp Estate B, Knepp Wildland Safaris, Knepp Energy Ltd, Brookhouse Knepp Ltd, Nancy Burrell, Knepp 1983 Settlement and Knepp 1987 Settlement). In this Privacy Notice these organisations are referred to as we, us or Knepp Castle Estate. The Knepp Castle Estate respects your privacy and commits to protecting it through our compliance with the practices described in this notice.

This notice describes how we collect, use, protect and share the personal data we may collect from you or that you may provide when you visit our website or when you contact us in connection with an enquiry or to book an event or appointment with us.

The website may include links to third-party websites, plug-ins, services, social networks or applications. Data we may collect about you

·         Non-personal data that does not directly or indirectly reveal your identity or directly relate to an identified individual, such as demographic information, or statistical or aggregated information. Statistical or aggregated data does not directly identify a specific person, but we may derive non-personal statistical or aggregated data from personal data. For example, we may aggregate personal data to calculate the percentage of users accessing a specific website feature.

·         Technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, or operating system and platform.

·         Non-personal details about your website interactions, including the full Uniform Resource Locators (URLs), clickstream to, through and from our website (including date and time), areas of the website you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), methods used to browse away from the page or any phone number used to call our customer service number.

·         Information about your event if you are contacting us to book a wedding or another function.

·         Information about your interests if you have contacted us to book a ticket to a particular event.

·         Information about your visit if you contact us to book a safari, glamping accommodation or pitch at our campsite.

If we combine or connect non-personal, technical, or demographic data with personal data so that it directly or indirectly identifies an individual, we treat the combined information as personal data.

How we collect data about you

We use different methods to collect data from and about you including through:

·         Direct interactions. You may give us information about you by filling in forms on our website or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you make an enquiry, subscribe to our newsletter or book an event.

·         Automated technologies or interactions. As you interact with our website, we may automatically collect technical data about your equipment, browsing actions and patterns as specified above. We collect this information by using cookies and other similar technologies (see Cookies and automatic data collection technologies).

·         Third parties or publicly available sources. We may receive information about you from third parties including, for example, business partners, sub-contractors in technical, payment and delivery services, advertising networks, analytics providers, search information providers, credit reference agencies, data brokers or aggregators.

Cookies and automatic data collection technologies

Our website uses cookies (small files placed on your device) or other automatic data collection technologies to distinguish you from other website users. This helps us deliver a better and more personalised service when you browse our website. It also allows us to improve our website by enabling us to:

Camping

If you book to stay at our campsite we will use your information to manage your booking and to deal with any special requests you may have. We may collect information about your health if you need us to have this to manage any special requests.

Safaris

If you book on one of our safaris we will use your information to manage your booking. We may collect information about your health if you have any particular requirements that we need to know about.

Weddings and venue hire

If you enquire about or hire one of our venues for a wedding or another event, we will use your information to respond to your enquiry and manage your booking. This will include details of your event, any special requests and contact details so that we can liaise with you to ensure your event runs smoothly.

Renting a property

If you apply to rent a property from us, we use your information to assess your suitability for one of our properties. If you are an existing tenant, we use your information to manage your tenancy. Other uses of your information

We also use your information for the following purposes:

·         Present our website and provide you with the information, services and support that you request from us.

·         Meet our obligations and enforce our rights arising from any contracts with you, including for billing or collections, or comply with legal requirements.

·         Fulfil the purposes for which you provided the data or that were described when it was collected.

·         Notify you about changes to our website or services.

·         Ensure that we present our website content in the most effective manner for you and for your computer.

·         Administer our website and conduct internal operations, including for troubleshooting, data analysis, testing, research, statistical and survey purposes.

What is the legal basis of our data processing?

Under data protection legislation we are only permitted to use your personal information if we have a legal basis for doing so. We rely on the following legal bases to use your information:

  • Where we need information to enter into or perform a contract we have entered into with you

  • Where we need to comply with a legal obligation

  • Where the processing is necessary for us to carry out activities which are in the Knepp Castle Estate's legitimate interests (or those of a third party) and provided that your interests and fundamental rights do not override those interests, including:

    • Using your personal data to promote our events and to send you marketing communications.

    • Processing for fraud prevention purposes and to recover monies owed to us.

    • Processing necessary for us to operate the administrative and technical aspects of our business efficiently and effectively – this will include: verifying the accuracy of information that we hold about you and create a better understanding of you; processing for administrative efficiency purposes such as where we outsource certain administrative functions to third parties who are specialise in such services; processing for network and information security purposes i.e. in order for us to take steps to protect your information against loss, damage, theft or unauthorised access or to comply with a request from you in connection with the exercise of any of your rights outlined below.

In limited circumstances we may process information relating to your health (for example if you inform us of dietary requirements or where have specific medical needs that we need to know about to enable us to provide you with access to an event or to cater for your specific requirements). In these cases the legal basis which we rely on to use your personal data is consent. By volunteering this information to us you will be consenting to us using it for the purpose that you specify when you provide us with the information.

Disclosure of your personal data

We share your personal data with the following third parties and in the following ways:

  • Business partners, suppliers, service providers, sub-contractors and other third parties we use to support our business (such as analytics and search engine providers that assist us with website improvement and optimisation, event organisers and billing partners). We contractually require these third parties to keep that personal data confidential and use it only for the contracted purposes.

  • Credit reference agencies when required to assess your credit score before entering into a contract with you (only relevant for tenants).

  • For any other purposes that we disclose when you provide the data.

  • With your consent.

We may also disclose your personal data to third parties:

  • If we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.

  • To comply with any court order, law, or legal process, including responding to any government or regulatory request.

  • To enforce a contract that we have with you.

  • To protect the rights, property, or safety of our business, our employees, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of cybersecurity, fraud protection and credit risk reduction.

Overseas transfers of data

We are based in the United Kingdom. However, some of the service providers that we use may store your data in countries that have different privacy laws that may not be as comprehensive as your own.     • If Knepp Castle Estate is continuing to process personal information beyond the period when it is necessary to do so for the purpose for which it was originally collected

    • If Knepp Castle Estate is relying on consent as the legal basis for processing and you withdraw consent (we do not usually rely on consent)

    • If Knepp Castle Estate is relying on legitimate interests as the legal basis for processing and you object to this processing and there is no overriding compelling ground which enables us continue with the processing

    • If the personal information has been processed unlawfully

    • If it is necessary to delete the personal information to comply with a legal obligation

  • Ask us to restrict our data processing activities where you consider that:

    • personal information is inaccurate

    • our processing of your personal information is unlawful

This right relates to personal information that you have provided to us that we need in order to perform our agreement with you and personal information where we are relying on consent to process your personal information

In addition to the rights set out above you also have a right to object to our processing of your personal data where we are relying on legitimate interests or exercise of a public interest task to make the processing lawful. If you raise an objection we will carry out an assessment to determine whether we have an overriding legitimate ground which entitles us to continue to process your personal information.

Data security

The security of your personal data is very important to us. We use physical, electronic, and administrative safeguards designed to protect your personal data from loss, misuse and unauthorised access, use, alteration or disclosure. We store all personal data you provide to us behind firewalls on servers employing security protections.

For how long do we keep your personal data?

The period for which we will keep your personal data will depend on the nature of our relationship with you. We will keep your personal data for as long necessary to perform the relevant services that you have requested from us. We will also keep data for as long as we are required to do so for legal or regulatory purposes.

We will post any changes we may make to our privacy notice on this page and indicate on the website home page that we updated this privacy notice.  If the changes materially alter how we use or treat your personal data we will notify you through a notice on the website home page.
